1. Information We Collect

We collect information you provide directly to us, including your name, email address, and payment information. We also collect audio files you upload for transcription.

Automatically collected data includes your IP address, browser type, device information, timezone, language preference, and a one-way browser fingerprint hash derived from your User-Agent, language, timezone, and platform.

2. Browser Fingerprint Hash

To enforce free usage quotas and prevent abuse (such as clearing cookies to reset limits), we compute a SHA-256 hash of your User-Agent, language, timezone, and platform. This hash is one-way and cannot be reversed to reveal your raw device properties. It is used solely as a risk signal for quota enforcement and is never used to identify, reassign, or merge guest profiles.

3. IP Address Usage

We store IP addresses in our server logs and in the free_usage_log table solely for rate limiting and abuse detection. IP records are retained for 90 days and then automatically deleted.

4. How We Use Your Information

We use your information to provide transcription services, process payments, send notifications, enforce usage quotas, prevent fraud and abuse, and improve our platform.

5. Cookies and Similar Technologies

We use cookies and localStorage to keep you signed in, remember your preferences, prevent abuse, and analyze product usage. Necessary cookies (including your guest session and fingerprint hash) are always active. Analytics cookies are only loaded after you grant consent. See our Cookie Policy for details.

6. Third-Party Services

With your analytics consent, we may load Google Analytics, Microsoft Clarity, and PostHog. These services process usage data under their own privacy policies.

7. Data Security

All data is encrypted in transit using TLS 1.3 and at rest using AES-256. We implement industry-standard security measures.

8. Data Retention

Audio files are retained for 30 days after transcription, then automatically deleted. Transcripts are retained until you delete your account. Free usage audit logs (including IP addresses and browser fingerprint hashes) are retained for 90 days and then automatically deleted. Consent audit logs are retained for 2 years for regulatory audit purposes and then automatically deleted.
